6.14 POST SIGN-OFF

6.14.1 Seafarer Contact

Maintaining contact with our seafarers plays an important part in encouraging their loyalty towards the Company and therefore retaining them within the managed fleet. The Crew Manager shall ensure that each seafarer is contacted within 15 days of signing-off from a vessel and returning home.

In all cases of complaints or grievances or non-compliance, the Crew Manager shall use the Debriefing of Senior Personnel form, (CRW 27) as a method of getting specific information about the seafarer’s recent voyage experience and particular information about the problem. It is important that CRW 18 is filled in accurately and includes sufficient background information to enable any corrective actions to be taken.

By the time the Crew Manager makes initial contact with the seafarer (within 15 days of signing-off), full details of his/her most recent Performance Appraisal should be available to view on the server. If it is not, a hard copy of the form should be located. The Crew Manager should pay particular attention to the Training and Development Plan, which forms part of the Seafarer Performance Appraisal process.

The Crew Manager or designated Career Development Officer, where appropriate, must review the matrix of mandatory and the Company training and find out what, if any, training courses the seafarer should complete. The Crew Manager, in liaison with the Training Centre Manager, will arrange for identified training to be completed before the seafarer’s next planned assignment.

The seafarer’s next availability date shall be established. This should be entered into the Crew Rotation Plan and Shipsure Contact Manager.

6.14.3 Crew Claims

Illnesses and injuries are advised by the Master. If the claim is below the deductible amount, details are passed to the Accounts Department, who are responsible for debiting the owners for unbudgeted expenses.

The handling of crew P&I claims is based on information provided by the MD, including details of the P&I Club involved, broker contact details, and applicable deductibles.

A claim file is opened by the Crew Manager to maintain correspondence and details of disbursements relating to the claim.

The Crew Manager liaises with the MD to try and ensure as much recovery as possible for any expenses in excess of the deductible.

Records of settled claims are maintained by the MD.

In the case of manning-only vessels where claims are handled directly by the owner, the claim file is forwarded to the owner for processing.
